Privacy Policy

What Copious collects, what we do with it, who we share it with, and the choices you have. We've kept it as plain as we can.
01Who this policy covers
This policy explains how [BUSINESS LEGAL NAME] (“Copious,” “we” or “us”) handles personal information through the Copious website and app. It covers three groups of people:
- Visitors to our public website.
- Users: the owners, admins and agents of agencies that have a Copious account.
- Leads and customers: people whose information an agency puts into Copious so its team can contact them or record a sale.
The agencies that pay for Copious are our “customers.” Their use of Copious is also governed by our Terms of Service.
02Agency data: who's responsible for it
Agencies decide what lead and customer information to upload or enter in Copious and how their teams use it. For that information, the agency is the business responsible for it, and Copious acts as its service provider. We store and process it only to provide Copious to that agency, following its instructions and our Terms of Service.
Each agency's data is kept separate. One agency can't see another agency's leads, customers or records.
Contact that agency directly. They can delete your record and add your number to their do-not-call list. If you contact us instead, we'll pass your request on to the agency when we can tell which one it is.
03Do Not Call lists
Agencies must scrub every phone number against the National Do Not Call Registry, any state do-not-call lists that apply, and their own internal do-not-call list before uploading it to Copious, and keep doing so as the law requires. Copious does not check numbers against the national registry or any state list.
When someone on an agency's team marks a number “Do not call,” Copious keeps that number on the agency's list and leaves it out of the agency's later uploads. This helps agencies honor requests they receive. It doesn't replace scrubbing, and it doesn't make an agency's calling compliant. The agency's full responsibilities are in our Terms of Service.
04Information we collect
Account information
Your name, email address, company name and role. Passwords are stored by our sign-in provider in a scrambled (hashed) form. We can't see them.
Information agencies put into Copious
- Lead and customer details, such as names, business names and titles, phone numbers, email addresses, service addresses, time zones, current provider, contract end date, current bill and notes.
- Call outcomes and call notes.
- Sales, including products, order numbers, install dates and install status.
- Callbacks, appointments and meetings on the calendar.
- Numbers marked “Do not call.”
Team and pay records
Each agent's commission per sale, weekly goal and bonus, payouts and chargebacks, and an activity log of who did what and when.
Technical information
When you visit the website or use the app, our hosting provider records standard technical details such as your IP address, browser type and the pages you request. We use these to keep the service secure and running. If we turn on Google Analytics on our public website, it collects information about how visitors use the site (see Cookies).
Messages you send us
If you email us, we keep your message and our reply.
Payment information
We don't store payment card numbers. When we start charging, a payment processor will handle card details, and we'll name it in this policy.
05How we use information
- To provide and run Copious, and to show each person what their role allows.
- To sign you in and send account emails, such as email confirmations, invites and password resets.
- To keep Copious secure, prevent misuse and fix problems.
- To answer your questions and give support.
- To understand, in aggregate, how people use our public website so we can improve it.
- To meet legal obligations and enforce our Terms of Service.
We don't sell personal information. We don't share it for targeted advertising. We don't use agency data to contact an agency's leads or customers, to market our own products, or to train machine-learning models.
08How we protect information
Information travels over encrypted connections. Database rules keep each agency's data separate and limit what each person can see by their role. Passwords are hashed. When someone is removed from an agency, they lose access right away.
No system is perfectly secure. If a breach affects your information, we'll notify the affected agencies, and anyone else we're required to, as the law requires.
09How long we keep information
- While an agency's account is active, we keep its data until the agency deletes it.
- When someone is removed from an agency, their login is turned off. Their name stays on the agency's records, such as sales, calls and payouts, so the history stays accurate.
- When an agency cancels, we keep its data for 30 days so it can export what it needs. Then we delete it. Copies in our backups are removed as those backups expire.
- We keep records we're legally required to keep, such as billing records, for as long as required.
10Your choices and rights
Users
You can update your name and change your password in Settings. To close your account, ask your agency's owner or contact us.
State privacy rights
Depending on where you live, including Texas and California, you may have the right to:
- know what personal information we have about you and get a copy of it;
- correct it;
- delete it; and
- opt out of its sale, of targeted advertising, and of certain profiling.
We don't sell personal information or use it for targeted advertising, so there's nothing to opt out of. We still treat a Global Privacy Control signal from your browser as an opt-out request.
To make a request, email [CONTACT EMAIL]. We'll confirm your identity and respond within 45 days. You can use an authorized agent to make a request for you. If we deny your request, you can appeal by replying to our answer, and we'll respond to the appeal within 60 days. If we deny the appeal, Texas residents can contact the Texas Attorney General. We won't treat you differently for using these rights.
If your request is about information an agency put into Copious, we'll forward it to that agency, since the agency decides what happens to that information.
11Sensitive information
Copious doesn't ask for sensitive information, such as Social Security numbers, bank or card numbers, health information or government ID numbers. Agencies agree not to enter it in leads, notes or sales.
12Children
Copious is for businesses and isn't meant for anyone under 18. We don't knowingly collect personal information from children under 13. If you believe we have, contact us and we'll delete it.
13United States only
Copious is offered only to businesses in the United States. We store and process information in the United States.
14Changes to this policy
When we update this policy, we'll post the new version here and change the date at the top. If a change is significant, we'll tell agency owners by email or in the app before it takes effect.
